Translating a Chinese individual income tax record (纳税记录)

This is the document that turns a claimed income into an evidenced one, which is exactly why it gets read carefully. The income categories are where translations go wrong, and each category means something specific about where the money came from.

In 2019 China's individual income tax system moved to annual consolidated filing, and the paperwork changed with it.

Both are still submitted, since people file historical periods. The newer 纳税记录 is stronger evidence, because the verification code means a reviewer can confirm it without contacting anyone.

The nine income categories

Getting these right is the difference between a document that supports your story and one that raises a question. Under the current law:

The first four are consolidated into comprehensive income for annual filing; the rest are taxed separately. If a family is demonstrating financial capacity, the mix tells the reader whether the income is a salary, a business, or a one-off sale — and mislabelling 劳务报酬 as salary, or 财产转让 as ordinary income, misstates the family's financial position rather than merely picking a clumsy word.

Amounts

Every figure is in RMB (人民币元). Two rules:

State the currency explicitly as RMB or CNY — "¥" is ambiguous to a reader who also deals with Japanese yen.

Seals and the verification code

The verification code is the single most useful thing on a modern tax record for a sceptical reviewer, because it turns your document into something they can check. Reproduce it exactly and label it clearly.

What reviewers actually do with this

For study-abroad financial capacity, the tax record is corroboration: it makes a claimed household income credible in a way an employment letter alone does not, because it is issued by a third party with no interest in the application.

That is also why inconsistencies here are costly. If the employment letter says an annual salary of RMB 600,000 and twelve months of tax records total RMB 180,000 of declared salary income, the tax record has contradicted the letter. Check the two against each other before submitting both.

Mistakes that matter

税款所属期 translated as the payment date. They are different fields and often different months. A tax record for the 2025 tax year issued in 2026 is normal; presenting the issue date as the period makes the record look like it covers the wrong year.

Income categories collapsed into "income". See above — this is the field with the most meaning per character on the page.

扣缴义务人 rendered as "payer". It is the withholding agent, a defined role with a legal obligation. For salary income it is the employer, and naming it is part of what makes the record evidence of employment.

Only the summary page translated. A tax record covering twelve months is a table with twelve rows. All of them get translated, in order, with the totals intact.

The verification code omitted as "just a barcode number". It is the verification mechanism.

FAQ

How do I obtain a 纳税记录?

Through the natural-person electronic tax service (the individual income tax app or web portal), or at a tax office. You can select the period and print it yourself; the printed copy carries the verification code.

How many months should I provide?

Whatever the receiving institution asks for — commonly twelve months, or the most recent complete tax year. Providing more than asked is harmless; providing a gap in the middle of a period is not.

Is a tax record the same as an income certificate?

No. An income certificate (收入证明) is written by the employer, and it is not third-party evidence. The tax record is issued by the tax authority. Many institutions ask for both precisely so they can compare them.

The record shows very little tax. Is that a problem?

It shows what was declared. If the family's real income is largely from a business, the relevant records may be the business's rather than the individual's, and the individual record will look thin. That is a question about which documents to submit, not about how to translate them.

How many billable pages is this?

A twelve-month record is typically two to four pages of content. It is a dense table, so it costs more per physical sheet than a certificate does — see what translation costs.
