Translating a Chinese bank statement and deposit certificate

A deposit certificate proves a balance existed on a date. A statement proves where the money came from. Institutions ask for different ones for different reasons, and sending the wrong one is the most common reason financial evidence gets bounced.

The distinction that matters: a deposit certificate is a snapshot, and a snapshot can be manufactured by moving money in the day before. Reviewers know this, which is why the serious ones ask for a statement as well — a statement shows whether the balance is the family's ordinary financial life or a recent arrival.

If you are only asked for one, send the one asked for. If you are asked for "proof of funds" without specification, a deposit certificate plus six months of statements answers both questions.

The freeze period

Most banks will only issue a deposit certificate if the funds are frozen for the certificate's validity, which is the point — it stops the same money proving capacity for three different applicants.

Institutions read this field. A certificate whose freeze expires before the term starts is worth less than one that runs past enrolment. When the school's checklist specifies how long funds must be held, that requirement maps onto this field and nothing else on the page.

Translate it precisely. 冻结至 2027 年 9 月 1 日 is "frozen until 1 September 2027", not "valid until".

The amount in Chinese characters

Many certificates print the amount twice: in digits, and in the formal character numerals (人民币贰拾万元整 = RMB 200,000.00 exactly). Both are printed, so both are translated. The character form exists to prevent tampering with the digits, and rendering only one of them removes that safeguard from the translated document.

Pick one English rendering per Chinese term and use it for every row. A statement where 转账 appears as "transfer", "transfer out" and "remittance" on different rows looks like three different things happened.

Rows, columns and the failure nobody notices

This is the document where automated translation fails silently. The text is easy; the alignment is not. A statement is a wide table, English descriptions are longer than Chinese ones, and when a row wraps, the amount can end up rendered against the wrong date.

The check that catches it: verify the balance column arithmetic. Each row's balance should equal the previous balance plus the credit minus the debit. If it does not, a row has shifted. This takes a minute on a sample of rows and it is the only reliable way to know the table survived translation.

Mistakes that matter

Sending a deposit certificate when the checklist asked for a statement. They prove different things and one does not substitute for the other.

Masking account digits. If the bank printed the full number, print the full number. A reviewer checking the certificate against the statement needs them to match.

Translating only the summary page of a statement. The rows are the evidence.

Omitting the freeze period. For a school reviewing financial capacity, that field is most of the document's value.

Dropping the Chinese-character amount. It is printed, so it is part of the document.

FAQ

How many months of statements should I provide?

Whatever is asked for; six months is the common request. Provide a continuous period — a gap in the middle invites the question of what happened during it.

Can the bank issue an English statement directly?

Many large Chinese banks issue bilingual or English deposit certificates on request, and some issue English statements. If yours does, that is cheaper and cleaner than translating, and it comes from the bank rather than from you. Ask before paying for translation.

Will a large recent deposit cause a problem?

It may prompt a question about the source of funds. That is a documentation question — the answer is usually a sale, a bonus or a family transfer, evidenced by the tax record or a property sale contract. It is not a translation question, but knowing it is coming lets you prepare the answer.

How many billable pages is a statement?

More than people expect. Six months of an active account is commonly four to ten pages of content at 250 words per page. This is the document where the difference between US$1 and US$25 a page shows up most — see what translation costs.

Does the statement need a bank seal?

For it to work as evidence, yes — an unsealed printout from online banking is a screenshot. Ask the branch to seal it. Whatever seals are on it get described in the translation.
